Hi R-12,
OK, I know that I’m late again in getting this newsletter out, but this weekend at worked sucked bigtime. We had 5 people to “turn” 12 F-16s!! Needless to say that I was beat each night and couldn’t even crawl upstairs to the computer.
First some great news, we now have a new official IPMS/USA Chapter, it is IPMS/Frank H. Sutton Memorial Chapter in Monroe, NC. After many weeks of work, Mike Burek has the Chapter up and running. Great work Mike.
As you all know, it’s election time for the IPMS/USA E-board. The on-line ballot is now available on the /USA website and will remain active until September 30th. In the upcoming “Journal”, there will also be the candidate’s bios and a snail-mail ballot. All I ask is that each of the IPMS/USA members in your Chapter vote. It doesn’t take long and is easy to do on-line. I’d also like to remind you guys that there is an amendment to the CB&L can be voted on-line as well. The results will be announced in early October and the officers will take their positions on February 1, 2010.
At the Winston-Salem contest held up there on May 9th, we had our spring business meeting. I have already sent you all the notes from that meeting, so won’t bore you again with that info. But I would like to take a couple of minutes to explain, again, the requirements for Chapter of the Year nominations and bids for the Regional.
First of all, the deadline for both of those documents is March 1st. The reason for this is that I have to let the DLC know who the CoY winner is by March 15th. In the case of the CoY nomination, you are supplying info of what your Chapter has done in the previous year. So on March 1, 2010; I will be reviewing your nominations for the 2009 R-12 CoY. The supporting documentation does not have to be the length of “War and Piece”; a one-page document with “bullet statements” is the best and easiest way to do that. Here’s an example of what I’m talking about:
I would like to nominate IPMS/Third Rock from the Sun for the IPMS/USA Region 12 Chapter of the Year for 2009.
• We shipped ten boxes of models and supplies to the troops in combat
• We sponsored categories at 8 contests here in the Region, two more at the R-12 Regional and one at the IPMS/USA Nationals
• We have held displays at the local VA hospital, local shopping mall and airshow

As you can see, it’s short and sweet; the more the info the better. I mark at the top of the document (once printed out) the date that I received the document, so the earliest arrival could win in case of a tie.
After the deadline, I take all the nominations and read them carefully and give a point for each good bullet. The most “bullets” win, in case of a tie, the earlier your Chapter has gotten me the document gets a point and the earliest Chapter Charter renewal also gets a point. That’s how I award the CoY.
As for bidding for the Region 12 Regional, first of all, let me know as soon as you can. I will send you the guidelines (they are also available on the R-12 website), plus an example of what the bid might want to look like. It’s a very good idea to communicate with me a lot while you’re putting your bid together, so that I can supply you with suggestions and comments. I will help every Chapter out with their Regional bid. Again, the deadline is March 1st the win the bid for the next year’s Regional. Such as on March 1, 2010, I’ll be reading the bids for the 2011 Regional. This way it, once announced, it’ll give the wining Chapter about a year lead-time. Matter of fact, right after the W-S contest, a Chapter requested this info and I’m helping them when they need it.
OK, so I’m sure you’d like to know who won the Chapter of the Year for Region 12 in 2008 – well it is IPMS/Eagle Squadron of Raleigh-Durham, NC. I have send their nomination to the DLC for consideration for the IPMS/USA CoY, good luck guys. I had two nominations for the 2008 CoY. I only received one bid for the 2010 R-12 Regional, so by default it goes to IPMS/Gamecocks of Sumter, SC. It’ll be on April 9/10, 2010.
Enclosed with this newsletter is the 2009 and the new 2010 Contest Schedule. So if you are planning on a contest for next year, this will give you an idea of what is already in the works and what dates have already been taken.
I request that each Chapter Contact or President, look at their Factsheet to make sure that it is current. Also look at the expiration dates of your members. If your FS has them as “expired”, please get with them to see if they have already renewed, update your FS and then send it to the DLC and myself.
Like normal, I’ll ask that you contact me as soon as you can about an event date, that way I can contact my “peeps” in R-2, R-3 and R-11 to check on what they might have in works. Once I approve your date, I’ll send you the Event Data Sheet (EDS) which needs to be filled out, returned to me for approval and I will send that to the DLC for his approval and to be input onto the IPMS/USA web site.
